Booking:
Here at RDJ Productions we consider ourselves booked as soon as you tell us you want us.
Clients are provided to pay for any 'admin' or set-up days even if the event doesn't end up going ahead as the work has already been carried out.
If you cancel the event we may decide to charge you a cancelation fee if prep work has already commenced and we may still charge you for any costs we have spent solely for your project, this may include but is not limited to: equipment hire, travel and accommodation. In all instances we try do do what is best for both parties involved.
If you change the work that will need doing on the project we will assume that you are aware of our rates and how the change in work load may affect the price.
Pricing:
Our company prices our services on an hourly and day rate.
A full day is classified as 8 full hours of work including set up and pack down. Day rates will be determined by travel, amount of work as well as hiring extra persons to assist the workforce if necessary.
Hourly billing is determined by 1 full hour (60 minutes) of service which will include set up and pack down. We may not be able to provide some services on an hourly rate however this will be discussed before we take on the job.
If changes to the work scope were to change we must be warned at least 48 hours in advance so that we can make changes to the work force or equipment in necessary.
Even though we try our best to work within the estimates we provided at the beginning of the project before work commenced, these are only estimates and we cannot guarantee that the final price will not vary.
Expenses:
Travel:
Costs for our teams travel may include but are not limited to: parking, traffic, bus/train fares and flights are charged on top of our service rates. If we travel by car to the event you will be charged £0.50 per mile unless stated otherwise. Travel time is calculated from our storage facility address using google maps. Often we will ask for this payment before the job officially starts in order for us to travel to the venue.
Food:
Clients will also sometimes be required to pay for the food/drink for the team (This will be discussed during the first quote meeting). Weather this is at a nearby restaurant or cafe or items purchased for a convenience store/supermarket receipts will be provided upon our arrival and this cost will be added to the invoice.
Accommodation:
In the case that the project will require overnight accommodation for the team, it should be provided by the client at a hotel, bed and breakfast or Airbnb as close to the venue as possible and the client will be charged for the cost.
Payment:
Invoices are required to be payed within 15 days after the invoice is sent unless agreed otherwise. If an extension is needed on this time frame, contact our accounts manager on invoices@rdjproductions.co.uk and an agreement can be made.
An additional charge of 20% will be added if payment is not given within the deadline.
Cancellations:
If canceled with more than one months notice 80% of the original cost will be refunded or not charged for. 20% will be kept or invoiced by RDJ Productions to account for the time spent on planning and preparation.
If canceled with less than one months notice no refunds will be given or the full quoted amount will be invoiced unless agreed prior.
Project Management:
After we have agreed upon a start date, we will make all efforts to ensure the project is delivered on time and inline with the original quote but we cannot guarantee that the original quote price will not change.
In the unlikely event that we are unable to carry out the project before work commences, we will inform you and make our best efforts to rearrange a new date that works for all parties involved. If we are unable to complete the project you will not be charged for our service.
We welcome you to give us feedback on our work during the project. If you wish to provide us with feedback, this must be done via email a minimum of 2 days before you wish for us to act upon your new request.
We will communicate via phone or email once the work has started. If you try to contact us over social media, it will be ignored as our social media's are only used for promotion and contact for initial quotes.
Hiring us and our equipment:
The Hirer is responsible for the conduct of all persons attending the event whether those persons are invited or not. The RDJ staff will not take any responsibility for controlling rowdy or disorderly behaviour, or ejecting unwanted persons from the venue. Ourselves, and our staff have the right to perform in a safe environment. We reserve the right to terminate the performance should any physical/verbal abuse or intimidating actions be made to the team. Under these circumstances no refund will be given.
The hirer must ensure that the venue is up to date on all Health and Safety regulations and that they are all properly in effect.
The RDJ Team:
Select members of the RDJ team are First Aid certified and carry up-to-date first aid kits and are always ready and prepared to help when necessary. So clients can be assured that they are always in safe hands with our team.
